Objective:
In this article, we will be talking about how to delete a list that was uploaded into Core iQ. We will explore the following topics:
- What gets removed when you delete a list.
- Who can be deleted via a full list deletion.
- What performance impacts come from a large list deletion.
What happens when you delete a list?
If you uploaded a list in error, or just want to remove an old list from Core iQ, it is possible to permanently delete any list from the List Management area of the platform. This action will permanently remove a number of records from the platform, along with their list associations. However, if the record meets any of the following conditions, it will not be deleted from Core iQ:
- If the record does not have a Lead status
- If the record has pending communications queued
- This means anything of a status other than Removed by System, Removed, or Failed Processing
- If the record has ever been successfully communicated with in the past
- This means the record has anything with a Processed status
In the case that any of the above is true for a record, it will be skipped and will not be eligible for bulk deletion in Core iQ at this time. We hope to have features in the future that allow for the deletion of these records.
What actually gets removed when someone is deleted?
If someone qualifies for a bulk deletion via this method, or if they are deleted using the Delete Profile button on their non-customer Profile screen, then they will be permanently removed from Core iQ. No record of their communications will be kept, and they will be impossible to find via the platform. This means that the deletion of a profile should only be done for those who should genuinely not be in the platform. If you want to keep any record of their communication history for any reason, then please do not delete their profile.
In the case that you do want to delete one or more profiles that are ineligible for bulk deletion because they do not meet one of the requirements outlined above, you can use the Delete Profile button. This allows for any user with the correct permission to delete a profile one-off, regardless of open Opportunities, communication history, or pending items. Just like we reviewed above, this will permanently delete their profile from Core iQ and will wipe them from the system.
What performance impacts can I expect when deleting a large list?
If you are deleting a large list from the platform (say above 1000 records), then you can expect a short period of performance impacts on Core iQ. This is because we have to scrub and repopulate our entire platform to remove these records, meaning things like reports and the search bar will be impacted. It is best to delete lists at the end of the business day, so the impact on other Core iQ users is as little as possible. If you do need to delete a list immediately, then be aware that it can impact the speed at which Core iQ returns report results, search queries, and sometimes pages.
